Effective 18 September 2026 · Last updated 18 September 2026
The short version. We keep your records so you can check what you are paid against what you actually ran. We do not sell your information, we do not advertise to you, and we do not track where your truck is.
Everything below is the long version, written from what the software actually does — not from a template.
This policy covers the Trucksys TMS website at mytrucksys.com and the Trucksys TMS application. Trucksys TMS is operated from Detroit, Michigan, United States. Where this policy says we it means Trucksys TMS; where it says you it means the person using it.
Your name, your email address, your company name, and a password. The password is handled by our authentication provider and stored only as a one-way hash — it is never visible to us and never stored in our own tables.
Trucksys is a record-keeping tool, so most of what we hold is what you typed in. Depending on how you use it, that includes:
| Record | What is in it |
|---|---|
| Loads | Origin and destination, dates, miles, rate, broker, reference and seal numbers, stop times, detention, status |
| Trucks & trailers | Unit and plate numbers, trailer details, the lease or purchase terms you enter, and — if you add one — the API key to your ELD or telematics account |
| Drivers | Name and phone number. Nothing else — see What we never collect |
| Money | Expenses, fuel purchases, fixed monthly costs, settlements, deductions, escrow, payouts, invoices |
| Invoicing details | Your business remit-to address, MC and DOT numbers, and your factoring company’s name, address and email — used to put them on an invoice |
| Savings goals | If you set one: the amount you are aiming at, the dates, and the share of each week’s net you mean to put aside |
| Brokers & carriers | Company names and contact details you enter |
| Maintenance & safety | Service records and safety notes you enter |
| Documents | Photographs and uploads of rate confirmations, bills of lading, proofs of delivery, receipts, lease and contract papers, settlement and escrow statements, repair orders, and truck condition walkarounds — which include photographs, odometer reading and tire tread depths |
When you photograph a document and ask Trucksys to read it, the image is sent to Anthropic’s API so the fields can be pulled out and filled in for you. The document itself leaves our systems to make this work. Anthropic processes it to return the extracted fields and, under their commercial terms, does not use it to train their models. If you would rather it did not go anywhere, type the figures in by hand — every field the reader fills is a field you can fill yourself.
We also record a timestamp each time the reader runs, tied to your account. That is how the monthly limit is counted. No account can edit or delete its own usage rows — that is enforced in the database, so the count cannot be wound back. They are removed when the account is deleted.
There are two sign-up boxes on the website — one beside the calculator and one in the footer. Both collect your email address and which topics you want to hear about. They are handled by Netlify Forms. Nothing else is collected.
Our hosting and database providers keep ordinary server logs — IP address, browser, page or request, and time. They are used to keep the service running and to investigate abuse.
Both the website and the application load typefaces from Google Fonts, which means Google receives the IP address of anyone who opens either one.
We run no analytics, no advertising pixels, and no third-party trackers. There is no Google Analytics, no Meta pixel, no session recorder. You can confirm this by viewing the page source.
This list matters as much as the one above.
We do not sell your personal information, and we do not share it for cross-context behavioural advertising. We have never done so.
Four companies, each doing one job:
Database, sign-in, and file storage. Your records and uploaded documents live here, on Amazon Web Services in Northern Virginia, United States.
Hosts the website and the application files, and receives the newsletter form.
Reads a document you photograph and returns the fields. Only runs when you ask it to.
Takes payment. Holds your card details; we do not.
Nobody else receives your information. We may disclose records if we are legally required to, or to protect someone’s safety, and we would tell you unless we were forbidden to.
This is enforced in the database itself, not by hiding buttons on a screen. A request made outside the app — straight to the API, with the right password — gets the same answer:
These rules are covered by a test suite that attempts each forbidden access in turn — a driver reaching for the owner’s records, one company reaching for another’s — and fails if any of them succeeds. It is run before a release, not automatically on every commit.
Wherever you live, you can ask us to:
Write to carrierstartup76@gmail.com. We answer within 30 days. We will not charge you, and we will not treat you differently for asking.
If you are in California, Colorado, Connecticut, Virginia, Texas or another state with a consumer privacy law, those are your statutory rights and the paragraph above is how you exercise them. We do not sell or share personal information, so there is nothing for you to opt out of. If you are in the United Kingdom or the European Economic Area, our lawful basis is performance of our contract with you, and our legitimate interest in keeping the service running and secure.
Trucksys is for people running a trucking business. It is not for anyone under 18, and we do not knowingly collect anything from a child. If you think a child has made an account, write to us and we will remove it.
Connections are encrypted in transit. Data is encrypted at rest by our database provider. Access rules are enforced in the database. Passwords are stored as one-way hashes. Uploaded documents sit in private storage scoped to your company and are reachable only through links that expire after one hour; if a photograph cannot be uploaded — no signal at a dock, say — the app keeps it inside the record itself instead, where the same access rules apply.
No system is perfect. If we discover a breach affecting your information, we will tell you and the relevant authorities as the law requires.
In the United States. If you use Trucksys from outside the United States, your information is transferred here and handled under this policy.
If we change this policy we will change the date at the top. If the change is one that matters — a new company handling your data, a new kind of information collected — we will email account holders before it takes effect.
